PHOENIX FIRE & SAFETY LTD / UPDATED 29 OCTOBER 2026
Privacy policy.
How we use your information when you enquire, book training or use this homepage.
Who handles your information
Phoenix Fire & Safety Ltd is responsible for the personal information covered by this notice. Contact us at bookings@phoenixfireandsafety.co.uk or 07916 925181 with questions or requests about your information.
Enquiries and bookings
We collect the name, work email, organisation, postcode and training requirements you submit. We use them to answer your enquiry, prepare a quote and arrange services you request. If you book, we may also need contact, billing and delegate details to deliver the training and administer the booking.
Where you ask about a contract with us, we use your information to take the requested steps before entering that contract and to perform it. For enquiries on behalf of an organisation, our legitimate interest is responding to business requests and arranging the requested services. We also keep records where needed to meet legal obligations.
You choose whether to enquire. We need the fields marked with an asterisk to handle the form request; you can also contact us directly. Submitting an enquiry does not subscribe you to marketing or confirm a booking. Please avoid including sensitive information about individual employees in this form.
Website and email providers
This homepage is hosted using ChatGPT Sites and Cloudflare. Enquiries are delivered using Resend to our business bookings inbox. These providers process information needed to run the website, protect it against misuse and deliver messages. Our email provider processes correspondence and any resulting business records.
Hosting and email providers may process data outside the UK. Information about their international processing and transfer arrangements is available in their privacy and data processing terms: OpenAI, Cloudflare and Resend. You can contact us for more information about the providers used for your request.
We do not sell your enquiry details. Information may be shared with those helping us deliver your requested service, or where disclosure is legally required.
Cookies and technical information
A short-lived essential form cookie binds a submission to its browser session and helps prevent misuse. It expires after one hour. The enquiry service temporarily uses hashed request identifiers, rate limits and duplicate-send records. It does not create a separate database of your enquiry message or contact details. Providers may retain operational and delivery logs under their own retention arrangements.
This homepage does not load optional analytics or advertising scripts. Linked course websites have their own privacy and cookie information. Basic request information, such as IP address and browser details, may be processed by our hosting providers to serve and secure the site.
How long we keep information
Enquiry correspondence is kept for as long as needed to respond, manage follow-up and resolve related questions. If an enquiry becomes a booking, relevant information forms part of our booking, accounting and training records and is retained for the applicable business, audit and legal requirements. Delegate names and email addresses used for certificates are retained for three and a half years for auditing, as set out in our existing training records policy. Temporary duplicate-send records in the website are retained for up to 24 hours while the service instance remains active.
Your rights and concerns
Depending on the circumstances, you can request access to your information, correction, deletion, restriction of use or a portable copy. You can object to processing based on legitimate interests. Contact us using the details above so we can consider your request. These rights may be subject to legal exceptions.
If you are concerned about how we handle your information, contact us first so we can investigate. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.
We review this notice when our website or services change.
